General

What is a trackless train rental?
A trackless train is a ride-along attraction — a locomotive with passenger cars — that runs on any flat surface without needing fixed tracks. You rent the train and a trained operator for a set number of hours. We deliver it, set it up, run it, and break it down. Your guests ride. That's the whole model.
How does it work at an event?
We arrive 45–60 minutes before your event start time, set up the train and route, and run a test pass. Once guests arrive, the operator manages continuous boarding and departure. Guests line up, board, ride a loop (or the route we've planned together), return, and exit. The cycle repeats for the duration of your booking.
What's included in the rental?
Every booking includes the train, a professional operator, delivery to your venue, setup and teardown, pre-event route consultation, and full liability insurance coverage. You don't need to supply anything — just the event.
Do you provide an operator?
Yes — always. An operator is included in every booking, every package, no exceptions. The operator manages the train, controls speed, coordinates boarding and unloading, and handles any in-event adjustments. You don't operate it yourself.
How long can we rent it for?
Our packages run from 2–3 hours (Northern Starter Ride) to 4–6 hours (Northern Event Experience) to 6–8+ hours (Northern Signature Experience). Extended hours beyond your package are available based on availability — mention it when you request a quote.
How far in advance should we book?
For peak summer dates (May–September), 4–8 weeks ahead is the target. For large festivals, corporate events with fixed dates, or July/August weekends in Calgary and Edmonton, 8–12 weeks gives you the best chance at your preferred date. Holiday season (November–December) books out fast — September or October is ideal. We do accommodate shorter lead times when dates are open.
Do you require a deposit?
Yes. A deposit is required to confirm your booking once a quote is accepted. The deposit amount and payment schedule are laid out clearly in your booking agreement before you commit to anything.
What's your cancellation policy?
Cancellation terms are outlined in your booking agreement. In general, cancellations made well in advance may be eligible for deposit refund or credit toward a rescheduled date. Cancellations close to the event date are subject to forfeiture of the deposit. We work with clients on rescheduling whenever possible — life happens.
What happens if it rains?
Light rain is not a problem — we operate. For heavier rain or high winds, we confirm a go/no-go decision with you early on event day (typically by 8 AM or several hours before start). If conditions aren't safe for operation, we work with you to reschedule at no additional cost. You won't be left scrambling the morning of your event.
Are you insured?
Yes. Commercial liability insurance is included on every booking. You don't need to purchase additional event insurance to cover the train or our operator — that's on us.

Event fit

What types of events is this best for?
The trackless train works across corporate events, company picnics, festivals, fairs, school fun days, community league events, birthday parties, family reunions, wedding receptions, mall activations, holiday parties, and charity fundraisers. If you're gathering people — especially a mixed-age crowd — the train has a role.
Is this good for corporate events?
It's one of our strongest use cases. The train breaks hierarchy naturally — the executive and the intern's kid board at the same time, for the same reason. For company picnics, appreciation days, and client events, it creates a genuine shared moment rather than a passive experience people scroll through. The organic photos and conversations it generates are worth more than most branded entertainment setups.
Can this work for festivals?
Yes. Festivals and fairs are where the train earns its keep at scale. It's a high-throughput ride that runs continuous loops, which means it can serve hundreds of guests over the course of a day without slowing down your event flow. We coordinate route and load/unload timing with your ops team.
Is this good for schools or community events?
It's one of the most popular booking types. Schools love it for fun days and field events because it works for every grade level simultaneously. Community leagues and neighbourhood celebrations use it because it draws families in from the moment it arrives — it's impossible to ignore.
Will adults actually use it?
Every time. The train disarms adults in a way that most event entertainment doesn't. People who would never voluntarily participate in a team-building game or a dance floor activity will board a train without a second thought. At corporate events in particular, adult ridership is usually higher than the organizer expects.
Is it just for kids?
Not at all. It's designed for all ages — toddlers through seniors ride comfortably. The mixed-age dynamic is actually one of the things that makes it work at corporate and community events. When a grandparent and a five-year-old are on the same ride, you've created something no other rental does.
Will this keep people engaged all day?
Yes — for longer packages, the train maintains engagement through the event because the ride experience is short enough that guests want to go again. For 4–8 hour events, it's common to see the same families and groups ride multiple times across the day.
How popular is it at events?
It becomes the social anchor. Within minutes of operation starting, guests gravitate toward it — phones come out, lines form organically, and it becomes the thing people photograph and talk about. Event planners who've used it report it's the piece of entertainment guests mention first when asked what they remembered.
Do people line up for it?
Lines form naturally and they're a good thing — they signal that the attraction is working. Our operator manages boarding flow to keep lines moving efficiently. For larger events and festival bookings, we plan load/unload timing specifically to prevent bottlenecks.
What makes this better than other rentals?
Most event rentals are passive or self-operated — an inflatable, a photo booth, a bouncy castle. The trackless train is an attended, continuously operating experience. It requires nothing from your guests except showing up. It works for every age group at the same time. And it generates genuine shared moments, not just individual entertainment. That's the gap it fills.

Space & setup

How much space do you need?
A minimum of approximately 40 ft × 40 ft is enough for a basic continuous loop. Larger spaces (60 ft × 60 ft and up) allow for a longer, more enjoyable route. We'll design the optimal route during your pre-event consultation based on your actual footprint.
Can it fit in our venue?
Send us a few photos or a rough layout and we'll tell you within hours. Most outdoor event spaces, parks, school grounds, and large indoor halls work. The things that sometimes require adjustment are tight entry gates (we need at least 6 ft wide) and very confined spaces with sharp corners.
Can it run indoors?
Yes. Indoor activations — malls, gymnasiums, large event halls — are a strong use case. Minimum ceiling clearance is 10 feet. The path needs to be continuous and flat, without turns tighter than the train's turning radius. Send us your floor plan and we'll confirm fit before you book.
What surfaces can it run on?
Flat grass, pavement, asphalt, concrete, hard-packed gravel, and indoor gymnasium or mall floors all work well. Soft or waterlogged grass and loose gravel require a quick check. Deep sand, mud, and stepped terrain are not suitable. When in doubt, send us a photo.
Does it need a track?
No. That's the 'trackless' part. The train navigates under its own steering — no rails, no fixed path, no ground preparation required. It runs wherever the operator drives it.
Can it go on pavement or grass?
Both work well. Pavement gives the smoothest ride and allows slightly higher speeds. Flat, firm grass is comfortable for guests and causes no surface damage under normal conditions. We recommend a quick check if there's been heavy rain in the days before your event.
Do you need power?
No. The train runs on its own power system — no electrical hookup or generator required on your end. Just a clear, flat route.
How long does setup take?
We typically arrive 45–60 minutes before your event start time and are fully operational before guests arrive. Teardown takes approximately 30–45 minutes after your event ends.
Do you handle setup and teardown?
Completely. Delivery, setup, operation, and full teardown are all included. You don't need to assign staff to manage or monitor the train — that's our job.
Can it run in tight spaces?
The train has a defined turning radius, so very tight or narrow spaces require route planning. We'll work through this in your pre-event consultation and design a route that fits your footprint. If a layout absolutely won't accommodate a safe loop, we'll tell you honestly before you book.

Capacity & operations

How many people can ride at once?
The number of passengers per ride depends on the train configuration. Our standard setup seats multiple cars of passengers per cycle. During your quote process, we'll confirm the exact capacity based on your event size and confirm that throughput will meet your crowd.
How many people per hour can it handle?
Throughput depends on route length, ride time, and boarding efficiency — typically a well-run train at a large event can cycle hundreds of riders per hour over a full day. For festival-scale events, we'll run the numbers with you during planning to confirm capacity matches your expected attendance.
Is there a weight limit?
Yes, per-car weight limits apply. We'll confirm the specifics when you request a quote based on your event type. The train is designed for all ages including adults, and the limits are generous for standard event use.
Is it safe for kids?
Safety is built into every booking. The train operates at a slow, controlled speed. A trained operator manages the ride at all times. Commercial liability insurance is included on every booking. We follow safe boarding and unloading procedures throughout the event.
How do you manage lines?
The operator manages boarding flow, including queue positioning and load/unload timing. For large events, we can coordinate with your event staff to set up a designated boarding area. Lines are a positive signal — they mean the attraction is working — and we're experienced at keeping them moving efficiently.
Do you control loading/unloading?
Yes. The operator handles all boarding and departure — guests don't self-load. This keeps the experience consistent and safe, and it also keeps the train moving on schedule throughout your event.
Can it run continuously?
Yes. For multi-hour bookings, the train can operate in continuous loops for the full duration. The operator is on-site for the entire booking and manages ride flow without breaks in service for your guests.
Are there breaks during operation?
Short operator rest breaks may occur during very long bookings, but we plan these so they don't affect the guest experience — typically during natural lulls or transitions in your event schedule. For festival and full-day events, we build this into the ops plan.
Can multiple trains run at once?
Availability depends on scheduling. Contact us with your event details if you're planning a very large activation — we can discuss options.
What happens if it gets too busy?
Busy is good. The operator manages boarding flow to keep things moving safely. For very high-demand events, we help you plan a boarding queue setup in advance so the experience stays organized and positive even when lines are long.

Logistics & booking

What areas do you service?
We serve Edmonton, Calgary, and surrounding Alberta communities, plus British Columbia and Saskatchewan. Travel fees may apply outside our primary markets. Provide your event address when requesting a quote and we'll confirm coverage and any travel costs upfront.
Is there a travel fee?
Travel fees apply for events outside our primary service areas (Edmonton and Calgary city limits). The travel cost is included transparently in your quote — no surprises after booking. Events in surrounding communities like Sherwood Park, St. Albert, Airdrie, and Cochrane are typically covered with a modest travel fee.
What time do you arrive?
We arrive 45–60 minutes before your event's scheduled start time. This gives us time to unload, set up, and do a test run before your guests arrive. Exact arrival time is confirmed in your booking details.
When do you leave?
We stay through your full booked duration and then break down and load out. Teardown takes approximately 30–45 minutes after the event ends. We leave the space clean and clear.
Can we extend the rental time?
Extensions are possible depending on availability and whether the operator's schedule allows. If you think you might want more time, mention it when you book — it's easier to pre-plan than to arrange mid-event.
Do you offer half-day or full-day options?
Yes. Our packages are designed around duration — 2–3 hours, 4–6 hours, and 6–8+ hours. These map to half-day and full-day events respectively. See the packages page for details on what's included at each tier.
Can we bundle this with other rentals?
Northern Lights Express is a specialist — we focus entirely on the trackless train experience. If you're working with other vendors, we're happy to coordinate timing and logistics with them. Our setup doesn't require exclusive space or special access beyond the ride footprint.
How do we book?
Use the contact form on this site. Tell us your event date, venue or general location, estimated guest count, and approximate duration. We'll respond quickly with a quote and confirm availability. A deposit holds your date once you accept the quote.
Can we check availability online?
We don't have a live availability calendar — dates are confirmed through a quick quote request. It typically takes one business day to confirm your date and provide a quote. For peak-season dates, the sooner you reach out, the better.
How quickly can we lock in a date?
Fast. Once you submit a quote request, we typically respond within one business day. If your date is available and you accept the quote, a deposit locks it in immediately. The whole process from first contact to confirmed booking can happen in 24–48 hours.
